2. What information we collect
2.1 Information you give us voluntarily
Most of our forms are business enquiry forms. Depending on what you submit, we may collect:
- Contact details: your name, job title, company name, business email address, telephone or WhatsApp number, country and region;
- Business context: your industry or application (for example flooring, curtain wall, automotive, prefabricated construction), your role in the purchasing decision, and how you found us;
- Enquiry content: the products, specifications, certifications, quantities, target markets or private-label requirements you describe, together with any message, drawings or documents you attach;
- Correspondence: the content of emails, chat messages and call notes exchanged with our sales and technical team.
We ask you not to send us sensitive personal data (for example health, biometric, political or religious information). Our Site is designed for business-to-business use, and we do not seek such information.
2.2 Information collected automatically
When you browse the Site, our servers and our security provider automatically record technical information, including:
- IP address and approximate geographic location derived from it;
- browser type and version, device type, operating system and screen size;
- pages viewed, time spent, referring URL and exit page, and the date and time of your visit;
- language preference and cookie settings;
- security and anti-abuse signals used to distinguish human visitors from automated traffic.
This information is largely aggregated or pseudonymised, and is used to keep the Site available, secure and functional.
2.3 Information we do not collect
We do not knowingly collect information from children, we do not use advertising or cross-site tracking pixels, we do not build behavioural advertising profiles, and we do not sell or rent personal data to third parties.
3. How we use your information and on what legal basis
Where the EU or UK GDPR applies, we must identify a legal basis for each processing activity. The table below sets out our purposes and the corresponding basis.
| Purpose | Legal basis |
|---|---|
| Responding to your enquiry, clarifying requirements, preparing quotations and samples | Art. 6(1)(b) GDPR — steps taken at your request prior to entering into a contract |
| Performing and administering contracts, including production, logistics, customs and after-sales support | Art. 6(1)(b) GDPR — performance of a contract |
| Providing technical support, documentation, SDS/TDS files and application guidance | Art. 6(1)(b) or 6(1)(f) GDPR — contract performance or our legitimate interest in supporting customers |
| Sending business-to-business information about products, new formulations, certifications, exhibitions and market updates | Art. 6(1)(f) GDPR — legitimate interests in business development, or Art. 6(1)(a) consent where consent is required by local law |
| Operating, maintaining, securing and improving the Site, including spam prevention and bot protection | Art. 6(1)(f) GDPR — legitimate interests in a secure and functional website |
| Complying with export control, sanctions screening, tax, accounting and other legal obligations | Art. 6(1)(c) GDPR — compliance with a legal obligation |
| Establishing, exercising or defending legal claims | Art. 6(1)(f) GDPR — legitimate interests |
Where we rely on consent, you may withdraw it at any time. Where we rely on legitimate interests, you have the right to object — see section 8.
We do not use your personal data for automated decision-making that produces legal or similarly significant effects.
4. Cookies and similar technologies
The Site uses cookies and similar technologies to keep it working, to remember your preferences and to protect it from abuse. Cookies fall into the following categories:
- Strictly necessary cookies — required for the Site to function (session handling, security, spam and bot protection). These cannot be switched off through the Site.
- Functional cookies — remember choices such as your language preference.
- Analytics cookies — help us understand which pages are useful. We currently do not operate third-party analytics or advertising trackers on the Site.
For a full list of the cookies we set, their providers and their retention periods, together with instructions on how to control them, please read our Cookie Policy.
5. Third-party services and processors
We use a limited number of service providers to operate the Site and our business. They may process personal data only on our instructions, or as independent controllers for their own security purposes, and are bound by contractual confidentiality and data protection obligations.
| Provider / category | Role and data involved |
|---|---|
| Cloudflare, Inc. — content delivery, security and bot protection | Processes IP addresses, request metadata and security signals to serve the Site and to verify that visitors are human. Operates a global network. |
| Machine translation service — website language switching | Translates pages on request and may set a cookie to remember your chosen language. Text submitted through the Site may be processed by the translation provider. |
| Web hosting and infrastructure provider | Stores the Site, databases and server log files, including form submissions, on our behalf. |
| Website platform and content management components | Provide the underlying content management, media and form functionality (for example WordPress, WooCommerce and associated components). |
| Business email and communication providers | Carry and store our business correspondence with you. |
| Professional advisers, auditors, freight forwarders and customs agents | Receive only the information necessary to provide their services or to meet legal requirements. |
We may also disclose personal data where we are required to do so by law, by a competent authority, or where disclosure is necessary to protect our rights, property or safety or those of others, or in connection with a corporate reorganisation.
We do not sell, rent or trade your personal information. We do not share it for cross-context behavioural advertising.
6. International data transfers
We are established in the People’s Republic of China and our servers and service providers may be located in China, the European Economic Area, the United Kingdom, the United States and other countries. Your personal data may therefore be transferred to, stored in and processed in a country other than the one in which you are located.
Where we transfer personal data out of the European Economic Area, the United Kingdom or Switzerland, we rely on appropriate safeguards, in particular the Standard Contractual Clauses approved by the European Commission and, where necessary, supplementary technical and organisational measures. Where we transfer personal data out of China, we comply with the applicable cross-border transfer requirements.
You may request further information about the safeguards we use by contacting us at the address in section 13.
7. How long we keep your data
| Category of data | Retention period |
|---|---|
| Unsuccessful or inactive enquiries, quotations and samples | Up to 24 months from our last contact, then deleted |
| Active customer, supplier and contract records | For the duration of the business relationship, plus the statutory retention period |
| Accounting, tax, customs and export-control records | As required by applicable law (typically up to 10 years) |
| Website server and security logs | Up to 12 months |
| Cookie and language preferences | For the lifetime of the relevant cookie, up to 12 months |
| Business marketing contact details | Until you object or unsubscribe, then removed from active lists |
Where a retention period ends, we delete or irreversibly anonymise the data, unless a longer period is required or permitted by law.
8. Your rights
Subject to applicable law and to certain exemptions, you have the following rights:
- Access — to obtain confirmation of whether we process your data and to receive a copy;
- Rectification — to have inaccurate or incomplete data corrected;
- Erasure — to have your data deleted where there is no continuing lawful reason for us to keep it;
- Restriction — to ask us to limit how we use your data;
- Objection — to object to processing based on our legitimate interests, and to object at any time to direct marketing;
- Portability — to receive data you provided to us in a structured, commonly used, machine-readable format, or to have it transmitted to another controller;
- Withdrawal of consent — to withdraw consent at any time, without affecting the lawfulness of processing carried out before withdrawal;
- Complaint — to lodge a complaint with your local supervisory authority.
To exercise any of these rights, email hua@ingadabondpro.com with enough information for us to identify you and understand your request. We respond within 30 days. Exercising your rights is free of charge, and we will not discriminate against you for doing so.
8.1 Additional rights in specific jurisdictions
- Brazil (LGPD): you may request confirmation of processing, access, correction, anonymisation, blocking or deletion of unnecessary data, portability, information about sharing, and the right to petition the National Data Protection Authority (ANPD).
- California, USA (CCPA/CPRA): you have the right to know what personal information we collect and how it is used, to request deletion, to request correction, and to opt out of the sale or sharing of personal information. We do not sell personal information and we do not share it for cross-context behavioural advertising.
- Other jurisdictions: if your local law grants you additional rights, we will honour those rights to the extent they apply.
9. How we protect your data
We maintain technical and organisational measures designed to protect personal data against unauthorised access, loss, alteration and disclosure. These include:
- encryption of data in transit using TLS/HTTPS across the Site;
- network-level protection, web application firewall and bot mitigation;
- role-based access controls, so that staff see only the data their role requires;
- confidentiality undertakings for employees and contractors;
- regular review of retention periods and deletion of data that is no longer needed;
- procedures to detect, assess and, where required, notify personal data breaches.
No method of transmission or storage is completely secure. If you have reason to believe your interaction with us is no longer secure, please contact us immediately.
10. Children’s privacy
The Site and our services are intended for business and professional users aged 18 or over. We do not knowingly collect personal data from children under 16. If you believe a child has provided us with personal data, please contact us and we will delete it.
11. Automated decision-making and Do Not Track
We do not carry out automated decision-making, including profiling, that produces legal effects or similarly significantly affects you. We do not currently respond to “Do Not Track” browser signals, because there is no common industry standard for interpreting them; we do not use cross-site tracking that such signals are designed to limit.
12. Changes to this policy
We may update this policy to reflect changes in our practices, our services or the law. The “Last updated” date at the top of this page will always show the current version. Where a change is material, we will draw attention to it on this page. We encourage you to review this policy periodically.
